Summary

This case study encapsulates how we collaborated with Avaya to launch their flagship virtual event Experience Avaya India & SAARC 2020. The whole essence of our campaign was to spark curiosity and engage attendees through comprehensive communications, eye-catching content creation, innovative design solutions, and technical integration on a virtual platform—all to create ‘Experiences That Matter’.

Business Challenge

• Maintaining engagement for a virtual event that focused on user experience.

• Create a ‘realistic’ virtual event that saw the same interactions between speakers, booth representatives, and attendees as a physical event.

Solution

From the get-go, we created attention-grabbing pre-event communications such as teasers, BYC, invite emails, agenda emails, speaker emails, social media posts, countdowns, and reminders.
The platform offered 3D event spaces with a vibrant lobby mimicking a real one, the exhibition hall truly stood out.

At the entrance, the attendees were greeted by a Welcome Video that we created to introduce the ‘Experience Avaya’ event and information about Avaya as a communications leader.
It also provided attendees the ease to navigate to their areas of interest, dip in and out of sessions, and generally enjoy their time.

Within the virtual platform, we created a total of 16 interactive booths, each with animated videos of products and services, and downloadable white papers.
As the event commenced, we were able to execute a seamless transition from one speaker to another.

We connected speakers from various cities within India such as Delhi, Mumbai, Bangalore, and internationally in Dubai and London—all brought together through an engaging storyline that we scripted.
The event saw 3 product launches in partnership with eminent guest speakers—Karan Bajwa, Managing Director of Google Cloud India, and Venkat Krishnan, Executive Director, Commercial Partners, Microsoft.

We were able to secure a remarkably exciting and momentous session titled ‘Experiencing Life Through This Unprecedented Time’ with Gaur Gopal Das, a renowned life coach, spiritual guide, and motivational speaker who is part of the International Society for Krishna Consciousness (ISKCON).
We also integrated speakers with some of the world’s most admired technology brands such as Assertion, Gnani, Koopid, Trinity, and Prognosis.

Last but not the least, another interesting factor that kept the attendees engaged was the gamification plan, wherein they earned points at every touchpoint of the virtual event, redeemable at the end with exciting prizes and vouchers.

Key Results

The virtual event saw over 2600  registrations and 1500 attendees including IT and Communications executives across industries and was a roaring success!
